Privacy & Cookies Policy

At Informatics Europe ("IE") we are committed to protecting your data and your privacy. As part of this effort, we process personal data in accordance with the current EU’s General Data Protection Regulation.
This privacy policy is intended to inform you, in a transparent manner, about the data we collect, the purpose for collecting it, the way we use it, and the rights you have regarding the processing of such data.
This privacy policy serves as our commitment to protect the security and privacy of your personal data.

REASONS FOR COLLECTING YOUR DATA

We collect and process your data to fulfill the legitimate interests of our Association as they are stated in Article 2: “Intended purpose and activities” of IE’s bylaws. We collect your personal information in order to provide you with membership services and to keep you updated about IE’s services, opportunities, and events.
We only use your data in ways you would reasonably expect, proportionate to our legitimate interests. We always balance our legitimate interests against your individual interests, rights, and freedoms.

WHAT DATA DO WE COLLECT?

We strive to collect as little personal data as we need to further our intended purpose and activities. We collect your identifying information (surname, first name, function, organization or institution, e-mail address, and postal address); our communications (by email or other); payment records; attendance to IE’s events.

HOW DO WE COLLECT YOUR DATA?

Most of your data is communicated to us by your active intervention. This is the case when your organisation becomes a member of IE or when you subscribe to one of our mailing lists or newsletters. We rely on our legitimate interests and your explicit consent for processing your data.
When we obtain personal data from third parties, we always process and treat your data in accordance with this Policy and the current EU Regulation.

HOW DO WE STORE YOUR DATA?

IE maintains member databases that contain the Member profile information. The information in these databases is used by authorized IE staff members only for the purposes of the Association.
We keep your data only for the time necessary to accomplish the “Intended purpose and activities” of our Association.
All office staff is made aware of the security procedures they must follow when handling personal information. IE ensures appropriate security of the personal data that it holds, in line with the applicable legal requirements and guidelines. We maintain all personal data with technical, administrative, and physical safeguards to protect against loss, unauthorized access, destruction, misuse, modification, and improper disclosure.

DATA SHARING

We share your data only when strictly necessary and exclusively for the purpose and activities of our Association. We provide appropriate safeguards to make sure that the data is only used for the agreed purpose. Your personal data will be shared with organizations in third countries outside European Union only when these organisations provide a level of protection equivalent to that of the EU.

YOUR RIGHTS AND HOW TO EXERCISE THEM

You always have the following rights: to be informed about the collection and use of your personal data; to access your personal data; to have inaccurate personal data rectified; to have your personal data erased (also known as “the right to be forgotten”); to request the restriction or suppression of your personal data; to obtain and reuse your personal data for your own purposes; to object to the data processing.
We have processes and procedures in place to ensure that we respond to your request and you can exercise your rights without undue delay, within the time and manner provided by the current EU’s General Data Protection Regulation.

SUPERVISORY AUTHORITY

Since currently IE does not have an establishment in the EU, where needed we will deal with the local supervisory authorities in the EU Member States.

COOKIES AND OTHER TRACKING TECHNOLOGIES POLICY

Definitions, characteristics, and application of standards

Cookies and other tracking technologies are small text files that may be sent to and registered on your computer by the websites you visit, to then be re-sent to those same sites when you visit them again. It is thanks to these cookies that those websites can “remember” your actions and preferences (e.g., login data, language, font size, other display settings, etc.), so that you do not need to configure them again when you next visit the website, or when you change pages within a website.
Cookies and other tracking technologies are used for electronic authentication, monitoring of sessions, and storage of information regarding your activities when accessing a website. They may also contain a unique ID code that allows tracking of your browsing activities within a website, for statistical or advertising purposes. Some operations within a website may not be able to be performed without the use of cookies which, in certain cases, are technically necessary for the operation of the website.

There are various types of cookies, depending on their characteristics and functions, which may be stored on your computer for different periods of time: "session cookies", which are automatically deleted when you close your browser, and "persistent cookies", which will remain on your device until their pre-set expiration period passes.

Types of cookies used by the Site and the possibility of (de-)selection

IE only uses technical cookies and implement the following ones:

  • Browsing or session cookies, which are strictly necessary for the website’s operation, and/or to allow you to use the website’s content and services (e.g. CV Repository).
  • Functional cookies, which are used to activate specific website functions and to configure the website according to your choices (e.g. language), in order to improve your experience.

This website installs also other technical tracking technologies that IE is provided for by Matomo.

Matomo is a web analytics software platform and it provides detailed reports on website usage by visitors, including the search engines and keywords they used, the language they speak, which pages they like, the files they download and so much more. However, Matomo is configured in such a way that it automatically anonymises visitor IPs and replaces user IDs. Only 2 byte are used (e.g., ip user 123.456.78.90 after anonymization appears as 123.456.xx.xx). Moreover, Matomo does not track users (it does not release cookies) and does not save any personal data. Cookies settings
